JOB TITLE: Chairman’s Council Associate
DEPARTMENT: Development
REPORTS TO: Vice President for Development

JOB SUMMARY: This position is the primary person responsible for the administration of the New-York Historical Society’s Chairman’s Council, the organization’s flagship patron program.

EDUCATION: Bachelor’s degree required.

EXPERIENCE:

  • 1 to 3 years of Development experience in a non-profit organization
  • Intermediate experience with MS Office suite required.  Experience with Altru and/or Raiser’s Edge, preferred.
  • Demonstrated experience  managing projects
  • Demonstrated experience managing events
  • Highly organized with the ability to handle multiple assignments
  • Ability to work in a fast-paced, deadline driven environment
  • Exceptional verbal and written communication skills
  • Excellent customer service skills
  • A self-motivated learner
  • Detail-oriented with high standards for accuracy
  • An enthusiasm for Museum Development work and the desire to take on challenges

ESSENTIAL JOB DUTIES:

Strategy/Outreach

  • Work closely with Chairman's Council leadership to develop strategy for engagement and growth of Chairman's Council via:
    • Prospect identification, stewardship, and solicitation
    • Preparing at least 6 annual Chairman’s Council Leadership Team meetings, taking minutes and managing follow up with team
    • Overseeing prospect outreach by maintaining constant contact with leadership regarding progress and next steps
    • Overseeing creation of targeted invitation lists for cultivation events (Dinners with History, fall event, Weekends with History, etc.)
  • Develop new strategies to engage younger Chairman’s Council prospects
  • Manage portfolio of Chairman's Council members and steward relationships with said members to better understand how to best engage them
    • Liaise with Chairman’s Council members to assist in cultivating prospects
  • Manage portfolio of prospects that have been identified through online tracking system

Marketing/Collateral

  • In charge of creating biannual events calendar for Chairman's Council members, event invitations, save the dates, any marketing materials
  • Ensure that Chairman’s Council page on the web is up-to-date (upcoming events, membership benefits, etc.)

Benefits Management

  • Oversee renewal, new, and lapsed member processes 
  • Manage VIP reservations for public programs and monitor ticket inventory
  • Greet members at programs throughout the season
  • Execute seasonal update mailings to members
  • Organize private tours for Chairman’s Council members

Events

  • Help organize and implement Weekend with History
  • Help organize and implement the annual Chairman’s Council Fall Event
  • Help organize and implement Weekend with History: Palm Beach
  • Plan and manage onsite execution of 8-12 annual Dinners with History
  • Help organize and implement 1-2 offsite events, and intermittent stewardship events (tours, breakfasts, etc.)

Some filing is required. This would require the ability to lift files, open filing cabinets and bend or stoop as necessary. The ability to stand and walk for up to 3-4 hour shifts daily is required.
