Guidelines and Fees for Obtaining Images

  • All image requests must be made in writing and include:
    • The negative/accession number for existing negative work.
    • The specific file name/location/visual reference of the original material for new photography.
  • Prepayment is required for all orders.
  • Turn-around is four weeks from time of payment, with a non-guaranteed date of delivery.
  • RUSH SERVICE (one to two week turn-around) may be available for a 100% surcharge.
  • Delivery Methods: FedEx ($20 domestic; $35 international); USPS ($5 domestic; $10 international); Internet download service/FTP site/ e-mail ($0)
  • Tax ID # is required to receive non-profit pricing.

 

The following fees cover only the cost of obtaining the images. Permission fees available on request (please provide information about intended use).
Digital Imaging:
Scans are at least 300 dpi for an 8 ½ x 11 inch image. All digital images are provided as .tiff files.
Existing digital tiff:                        $60/ $30 non-profit
New digital photography/scan:       $90/ $60 non-profit
4 x 5 Color Transparency (90 day rental):
Existing:               $150.00
New:                    $300.00
EXCEPTIONS:
Objects in the off-site warehouse in need of new photography are subject to a $50 pull fee, with a non-guaranteed turnaround (an estimate will be given on a case-by-case basis).
Conservation Fee: Objects needing conservation will be evaluated and a cost estimate will be given before proceeding. Depending on the condition of architecture drawings, which will be determined by the Chief Conservator, additional charges may apply. These include:

  • For humidifying and flattening all blueprints, trace, and other drawings prior to photography: Flat $50 per drawing.
  • For any additional treatment, such as mending or cleaning: An additional minimum $50 flat fee per drawing, plus $ 50/per hour.

Custom Scanning: There is a $25 fee for custom scanning. Please provide desired output size/resolution. An invoice/estimate detailing the order will be faxed, emailed or mailed upon request. Payments by check or money order must be drawn from a United States bank. Visa, MasterCard and American Express orders are also accepted.
All fees are non-refundable and subject to change without notice.
Architectural Drawings:
The New-York Historical Society will provide high resolution digital images of architectural drawings, scanned from a transparency to the scale of the original. Rental of the transparency is also an option.
Costs are as follows:

$175 per digital file on CD, not including any necessary conservation.

Permission Guidelines

  1. Application for publication rights should be made in writing and include the negative or accession number, the intended use, the original invoice number and visual reference when available. Please note the estimated print run/term of use, whether North American or World rights will be needed, and whether the image will be used in black & white or color.
  2. Only images obtained directly from the New-York Historical Society will be authorized for reproduction use.
  3. The New-York Historical Society reserves the right to refuse any request and to impose such conditions as it may deem advisable in the best interest of the Historical Society.
  4. Credit must always be given in the following format: Collection of the New-York Historical Society, and include the negative and/or accession number provided.
